Rollout scenarios

The industry tasks customers bring us and the platform setup that covers them. Each scenario states what changed in the process.

Distribution and wholesale

Document flow with retail chains without couriers

Task

Invoices and contracts were printed, signed by hand and driven around to counterparties. Originals went missing, closing documents took weeks to collect, and some chains worked through their own operator.

Solution

Document flow moved to electronic signature, and the exchange with external operators runs through roaming. Certificates are issued in our own certificate authority, so onboarding an employee does not depend on third party timelines.

What changed

  • A document reaches the counterparty on the day it is created, with no printing or delivery.
  • Exchange with chains on other operators happens from the same interface.
  • Closing documents are collected by the reporting period without manual reconciliation.
Microfinance organisation

Issuing a loan online with a customer check

Task

Applications were accepted in the branch and identity was confirmed manually against documents. The check took hours and the decision depended on which employee ran it.

Solution

Customer verification is moved into a separate layer and the microfinance platform receives a finished check result. Employee accounts and rights are managed centrally.

What changed

  • The customer passes verification remotely, without visiting a branch.
  • The decision relies on the same set of checks for every customer.
  • Employee access to application data is granted and revoked in one place.
Accounting outsourcing

Serving several legal entities in one perimeter

Task

Every client was kept in a separate database while documents arrived by email and in messengers. The accountant spent time collecting source documents instead of doing the books.

Solution

Accounting and finance run in a shared perimeter with separation by organisation. Source documents land straight in document flow and move on into the books.

What changed

  • The accountant switches between clients without changing systems.
  • Source documents arrive in one channel instead of email and messengers.
  • The data of a neighbouring legal entity is unavailable by rights separation.
Construction

Contract work with contractor due diligence

Task

Contracts were agreed in email threads, versions diverged, and contractor reliability was checked manually before every deal.

Solution

Approval moved into document flow routes, and the legal register tracks obligations for each contract. Counterparty due diligence is connected to the same perimeter.

What changed

  • A contract has one current version and a visible approval history.
  • The contractor is checked before signing rather than after.
  • Deadlines and obligations under active contracts sit in one register.
Retail chain

People documents for distributed staff

Task

Orders and applications were signed on paper in every store. Documents travelled to the head office and some were lost on the way.

Solution

People records are linked to document flow: an order and an application are signed electronically and the employee signs in with a single account from any device.

What changed

  • A people document is signed at the store without sending paper anywhere.
  • Hiring and leaving are reflected in the records on the day they are processed.
  • The employee account is closed across every product at once.
Service company

One history of customer requests

Task

Requests arrived by email, in messengers and by phone. The history lived with a specific manager, and in their absence the customer had to retell everything.

Solution

Requests are collected in the service desk, and calls with their recordings are attached to the same card. The commercial side runs in the sales system on shared reference data.

What changed

  • A request from any channel lands in one queue.
  • The call and the correspondence are visible in the customer card to any on duty agent.
  • Handing a customer between managers does not lose the context.
Insurance

Issuing a policy without an office visit

Task

A policy was issued at a branch, customer documents were copied by hand and kept in paper folders. A renewal notice depended on whether the agent remembered it.

Solution

Issuing a policy moved to the industry insurance platform, scanned documents are stored in a shared file repository with access separation. Renewal and review status notices go to the customer automatically by email.

What changed

  • A policy is issued remotely, without the customer visiting a branch.
  • Documents sit in one repository instead of folders on agent desks.
  • A renewal notice goes out automatically instead of relying on an agent memory.

About the wording

The scenarios describe typical rollouts without naming customers or commercial terms. No numeric effect figures are given: they depend on the processes of a specific company and are verified during a pilot.
